Tip: How to create a template for the text that may differ only in a few words.
If you often write similar e-mails that differ just in a few words, say the customer name, product name, price, etc., make use of the macro ~%SELECTED.
When a template is inserted into the e-mail, this macro is replaced with the text fragment selected in the e-mail body.
Example: we are often asked what Outlook versions our plug-ins work for. Instead of creating a number of templates like these:
We create just one template:
Our ~%SELECTED is compatible with Microsoft Outlook 2000-2007.
When we get a question about compatibility of the Template Phrases with Outlook, we copy the add-in's name from the customer's question, paste it to our reply message and select it (make it highlighted).
Then we double click on the template and get a nice reply:
Our Template Phrases is compatible with Microsoft Outlook 2000-2007.
To insert a template in the e-mail message, double-click on its name, or select a template in the template tree
and click the Paste icon
on the Template Phrases toolbar.
The text of the selected template is shown in the Preview window at the bottom of the add-in's pane.
The 8 most recently used templates are available by clicking on the History icon
on the add-in toolbar.
To hide the Template Phrases pane, click on tiny arrows
in the center of the vertical line that separates the add-in's pane and the message body.
The add-in will shrink to a thin vertical strip in the right part of the message window.
